USEFUL TENANT INFORMATION

Local Knowledge

We are a small independant letting agency providing a professional service in the local area since 2004. We maintain high standards and for peace of mind we are licenced ARLA and TPOS agents.

We also hold Client Money Protection which ensures that your money is held in a separate, protected bank account.

When you register with our agency we will keep you updated with email and SMS alerts detailing new properties on the market.


Tenancy Fee

We welcome industry regulation and take pride in operating with transparency of fees at all times so that there are no last minute surprises.

You’ll be pleased to hear that we will not charge you a Renewal Fee if you extend your tenancy, nor will we charge you if asked to provide an agent reference when you leave.

The following are Pre Tenancy Fees:
The fee of £120 is for the creation of the tenancy agreement & associated documents.
The fee of £45 charged per tenant is for the referencing & credit check. There is no additional charge if using a guarantor.


REFERENCING

In order to pass referencing please check your combined basic annual income is at least 2.5 times the annual rent. If using a guarantor, their income must exceed 3 times the annual rent.

You’ll be required to provide proof of address, recent bank statement and payslips. If you are self-employed you will need to provide your latest tax return and an accountant’s letter where possible.

Due to the recent change in the immigration right to rent law, we are required to check the validity of your passport in your presence. When you come to our office you must bring the original documents.

Referencing normally takes 2 to 3 days subject to the response time of your referees.


Holding Deposit

Once your offer has been accepted by a landlord, we’ll start the referencing process, preparing the Tenancy Agreement and organising all of the other aspects of a successful move.

It is normal for the Tenant to put down a Holding Deposit (normally the equivalent of one or two weeks rent) to secure the property. Please note that this amount will be non-refundable should you withdraw your offer once it has been accepted by the landlord.


Credit Card Processing Fee

We recommend that all payments are made by VISA debit card or bank transfer as both of these options are free of charge.

If using alternative cards please be aware that there will be the following surcharge:
VISA Credit Card 2% : MasterCard Debit Card 1% : MasterCard Credit Card 3%


Six Week Security Deposit

This is not a fee and we in fact do not hold on to it. We will either register and transfer the deposit to the Deposit Protection Scheme (DPS), or transfer on to the Landlord who will in turn be required to register the deposit with one of the approved Government Schemes.


Tenancy Agreement

The standard tenancy term is 12 months with an option to include a 6 month break clause whereby either party can serve two months’ notice.

We use secure on-line electronic signature software so that the tenancy agreement can be signed at your convenience, greatly saving on time and the environment.


Inventory Check-in & Check-out

In order to avoid any misunderstanding or disputes at the end of a Tenancy, an Inventory of Contents and schedule of condition is usually undertaken and takes place on the day the tenancy commences. It is recommended that you are present both for the check-in and check-out.

Standard practice is for the Landlord to pay for the check-in and the Tenants the check-out report. The check-out fee will vary according to property type and size and will also depend on the amount charged by the independent inventory clerk.

Below are approximate charges for Check-Out report
1 bed . . . £80 to £100
2 bed . . . £90 to £100
3 bed . . . £100 to £120
4 bed . . . £110 to £130


Change of Tenant Fee

A fee of £165.00 will apply if there is a change of Tenant during the tenancy term i.e. where one tenant in a shared property is replaced by another tenant (with the consent of the landlord). Our referencing fee is also chargeable.

Also to consider is a potential cost of a mid-term inspection report to review the condition of the property during the change. This will vary dependant on the size of property and the independent clerk.

At Urban Lettings, we are committed to supporting worthy causes and making a sustained effort to raise charitable funds.

By making a donation to Variety, you will help to improve the lives of children and young people throughout the UK who are sick, disabled or disadvantaged.

We hope that you will donate the £1 which has been added to your admin fee and our pledge is to match every pound donated.

All donations, together with our contribution, will be handed over to Variety, the children’s charity at the end of every month.

ARLA members are required to work within a robust Code of Practice, which covers the key stages in letting and managing a property.
